The Client’s Guide to Paperbell

What is Paperbell?

Paperbell is an online software tool used by coaches and consultants to manage scheduling, payments, contracts, and other business admin.

You’re seeing it because the coach you’re working with uses Paperbell to manage their business.

How does Paperbell work for clients?

Your coach shares a link to their Paperbell site, where you can book or purchase one of their offerings.

The checkout process can include appointment scheduling, contract signing, payments, and surveys, depending on what your coach sets up.

Make sure you fully complete the checkout process in order to secure your appointment!

You should receive an email confirmation of your purchase and a calendar invitation if you scheduled a session.

Once you have purchased a package via Paperbell, or your coach has given you a package, you will have access to the Client Portal.

You’ll also see a Client login at the top of your coach’s Paperbell site:

To access content from your coach and book additional sessions, log in at https://PaperbellClient.com/ 

To log in, enter your email address and Paperbell will send you a one-time use code. 

Client Portal Walkthrough

Overview

When you log in, the Overview page shows you any upcoming appointments, available content, and survey info. You can also search for items from this page.

Click “Book Appointment” to schedule a session from your package.

Your coach’s name and a link to their site is in the left side column.

Appointments

Your Appointments page contains a list of all upcoming and past appointments.

To book remaining sessions in your package, click the Book Appointment button.

Click View to see details for a booked appointment, or to reschedule or cancel an appointment.

Content

This page contains any files or links associated with your package.

You’ll see the content name, type, associated package, and a button to click to download, visit, or watch the item.

You can filter by content type and by package:

Any content that has been shared just with you is labeled Private.

Click Upload Content to share files with your coach.

Click the Uploads button to see what you’ve shared.

Surveys

Click on this tab to see all the available surveys connected to your package(s).

Click View to complete, update, or review your answers. (Make sure to save your changes!)

Purchases

This page lists all your packages, the date and price of your purchase, and the number of appointments you have left to book. If you have a subscription or payment plan package, you’ll see if it’s active, cancelled, or expired.

Click Billing details to get more info.

If your coach still offers this package, you’ll also see a link to repurchase:

Revisit your coach’s site

Go to your coach’s site from the link at the top of the left column.

My Profile

At the bottom of the left side column, click My Profile to add or update your name, email address, phone number, time zone, and profile pic.

SMS Notifications

Add your phone number in My Profile to receive SMS reminders before appointments. (If you don’t see this option, it’s because your coach hasn’t turned this on!)

You will need to verify your phone number after adding it — look for the bar at the top of the page and click Send code.

Enter the code you receive at that number and click Verify.

Once your number is verified, tick the box to receive SMS reminders before appointments.

If you want to unsubscribe from these texts, reply “STOP” to a reminder. 🛑

Frequently Asked Questions

Can I book a time and pay later?

No, if you’re attempting to purchase a paid package your appointment will not be secured until you’ve completed checkout including payment.

Will I be automatically billed for my subscription or payment plan?

Yes, if you have purchased a subscription or payment plan the payment will be charged to your card each month automatically. Look for a receipt from Stripe.

How can I change my credit card?

To change the credit card being billed for future payments, go to the Packages page and click on the name of the package you want to modify the credit card for. You will see an option to do so.

How do I cancel my subscription?

From the Purchases page, click View details for your subscription package.

On the next page, click Cancel Subscription.

Any appointments that are scheduled before the next renewal date (now cancellation date) will remain booked; any appointments that fall after that date will be automatically cancelled.

Can I cancel my payment plan?

Payment plans are an agreement to pay the entire amount and cannot be self-cancelled until the plan is complete.

Reach out to your coach to discuss your situation if you’d like to end the agreement early.

How do I get a refund for my package purchase?

Contact your coach to ask about their refund policy.

How do I schedule the appointments in my package?

If you have purchased a package with multiple sessions you can book them upfront or over time.

Log in to https://PaperbellClient.com/

On the Overview or Appointment pages, you’ll see a Book Appointment button if you have unused sessions. Click that, and choose a date and time!

How do I purchase another package from my coach?

Look for the the Website tab at the top of the page when you log in to the Client Portal.

Click that, and you’ll be taken to your coach’s website, where you can purchase their packages.

How do I cancel or reschedule my appointment?

Log in to https://PaperbellClient.com/

Head to Appointments and click “View” for that appointment.

On the next screen, you’ll see buttons to Reschedule and Delete Appointment.

If it is less than 24 hours before your scheduled appointment, you cannot cancel or reschedule the appointment. Contact your coach to find out your options.

How do I share a file with my coach?

Log in to https://PaperbellClient.com/ and go to the Content tab.

Click the Upload Content button, and follow directions to upload or share your link.

Your coach will be notified that you’ve shared something with them.

You can see what you’ve shared with your coach from the Uploads tab.
